Terms and Conditions for Purchasing Travel Products

Business Airfare LLC (“Business Airfare”, “we”, “us”, “our”) provides travel consulting and itinerary assistance and helps you connect with authorized third-party suppliers and travel product providers (including airlines, hotels, consolidators, car rental companies, transfer providers, and other vendors) (collectively, “Travel Providers”). Travel Products (such as airline tickets and hotel bookings) are issued and fulfilled by the applicable Travel Provider, and their terms and conditions apply.

1) Scope & Acceptance

These Terms and Conditions (the “Terms”) and our Privacy Policy govern your purchase of travel-related products and services (“Travel Products”) arranged through Business Airfare. By requesting, authorizing payment for, or purchasing Travel Products through us, you agree to be bound by these Terms.

These Terms may be changed at any time in our sole discretion. The version posted on our website on the Effective Date above applies. Continued use of our services after changes are posted constitutes acceptance of the updated Terms.

By placing an order, you represent that you are at least 18 years old (or the legal age to form a binding contract in your jurisdiction) and have authority to accept these Terms for yourself and for all travelers included in the booking.

3) Pricing, Fees, and What You Are Paying For (Sometimes A, Sometimes B)

Depending on the deal and the supplier used, your total amount charged by Business Airfare may include:

  • (A) Travel Products only: the cost of the Travel Product(s) (e.g., airfare, hotel, transfers) arranged through a Travel Provider; or
  • (B) Travel Products + Service/Consulting Fee: the cost of the Travel Product(s) plus a separate service, consulting, itinerary planning, booking assistance, or processing fee charged by Business Airfare.

Any service/consulting fee (if applicable) will be disclosed to you before you authorize payment. Unless required by law, service/consulting fees are generally non-refundable once the related work has been performed (for example: sourcing options, itinerary building, supplier coordination, issuing support, and post-sale assistance).

4) Fare Restrictions and Rules

Cancellations and Refunds

Most airline tickets are non-refundable and subject to the fare rules set by the issuing airline and/or the Travel Provider. Refund eligibility depends on the specific fare rules, the airline’s policies, and applicable law.

  • If your ticket is non-refundable, cancellation and refund may not be permitted before or after departure, except where required by law and/or allowed by the Travel Provider’s fare rules.
  • If a refund is required by law or approved by the Travel Provider (for example, an airline cancellation or significant schedule change where the Travel Provider confirms refund eligibility), refunds are typically processed back to the original form of payment after the Travel Provider returns funds through the payment chain.
  • Cancellation of a reservation does not automatically initiate a refund. Refunds must be requested and are subject to verification and approval by the Travel Provider.

Note: If any refund is approved, it generally applies only to the refundable portion of the Travel Product price as determined by the Travel Provider. Service/consulting fees, third-party processing fees, and other non-airfare charges may be non-refundable unless required by law.

Modifications and Exchanges

Many tickets are non-changeable, non-transferable, non-reroutable, and/or non-exchangeable. Where changes are permitted by the fare rules, changes are typically subject to fare differences, penalties, and availability at the time of change.

If changes are allowed, they generally must be completed prior to scheduled departure to avoid “no show” rules imposed by the airline/Travel Provider.

General Rules for Cancellations, Exchanges, and Refunds

If the Travel Provider’s fare rules allow a cancellation, exchange, or refund, Business Airfare may charge a processing/service fee for handling the request. Any such fee will be disclosed before processing and is generally non-refundable. Travel Providers may also charge their own penalties/fees.

“No show” bookings may be ineligible for refunds or changes under Travel Provider rules.

Travel Vouchers

From time to time, Travel Providers or Business Airfare may offer vouchers, credits, or coupons. Each voucher/credit has its own terms and conditions. Please read the applicable terms carefully before accepting or redeeming.

5) Payment Information

We accept major credit/debit cards and other payment methods as displayed at checkout or provided via our payment links. By submitting payment, you represent and warrant that the payment method is yours or that you have authorization to use it.

  • All payment methods must have verifiable billing details where required.
  • Submitting payment information does not guarantee ticketing or booking confirmation until the Travel Provider confirms issuance.
  • Some transactions may require additional verification for fraud prevention and security reasons.

Phone Call Recording & Messaging Consent (SMS/WhatsApp)

For quality assurance, training, fraud prevention, and dispute resolution, some customer service calls may be recorded where permitted by law. By calling us or continuing a call after any notice, you consent to such recording to the extent permitted by law.

If you provide your phone number or contact us via SMS or WhatsApp, you agree we may contact you via phone, SMS, WhatsApp, and email for service-related purposes, including restoring interrupted conversations, providing quotes, confirming traveler details, sending payment links, and providing administrative updates. No purchase is necessary to receive service-related follow-up communications when you have initiated contact or requested assistance.

Opt-out: You may opt out of SMS at any time by replying STOP where supported, or by contacting support@business-airfare.com. You may request we stop contacting you via WhatsApp or phone; however, we may still send essential service or administrative communications related to an active request, booking, payment, or legal obligations.

Message and data rates may apply. Opt-out keyword availability can vary by country and carrier.

Third-Party Payment Processing

We may use third-party payment processors to process payments. Your payment may appear on your statement under a descriptor associated with Business Airfare LLC and/or our payment processor, depending on the method used.

Banks and card issuers may impose fees (including currency conversion fees). Those fees are set by your bank/card issuer and are not controlled by Business Airfare.

6) Credit Card Chargebacks

If you have a question about a charge, please contact us first at support@business-airfare.com. We will work with you to address concerns where possible.

You understand that initiating a chargeback may impact the associated booking, including potential cancellation by the Travel Provider and/or interruption of service, depending on Travel Provider rules and timelines.

We reserve the right to investigate and respond to chargebacks with relevant documentation, which may include (where permitted) call recordings, written communications, booking confirmations, fare rules, and proof of delivery/issuance from the Travel Provider.

7) Baggage Information

Baggage allowances and fees vary by airline, route, cabin class, and ticket type, and may change at any time. Airlines may charge additional fees at the airport if baggage exceeds limitations. We recommend confirming baggage rules directly with the airline prior to travel.

8) Flight Information

Flight times, flight numbers, aircraft, and schedules may change after purchase. Business Airfare is not responsible for airline schedule changes. Please confirm flight details with the airline and reconfirm flights prior to departure.

Failure to use any portion of an itinerary may result in automatic cancellation of continuing/return segments under airline rules. Contact the airline or us before departure if you need assistance.

9) Recommended Check-In Time

Recommended check-in times vary by airline and airport. For many international flights, arriving at the airport at least 3 hours before departure is recommended. Business Airfare is not responsible if you miss a flight due to late check-in or late arrival at the gate.

10) Travel Documents, Visa Information, and Entry Requirements

You are responsible for obtaining and carrying all required travel documents (passport, visas, transit visas, health documents, etc.). Requirements vary by destination and may change at any time. Business Airfare does not provide legal advice regarding visas/immigration and is not responsible for denied boarding or entry due to missing or invalid documents.

Health recommendations (including vaccinations) may change. Consult your medical provider for advice. You accept responsibility for your decision to travel.

11) Unaccompanied Minors

Airlines set their own rules for unaccompanied minors, including restrictions and fees. Verify the airline’s policy directly prior to booking and travel.

12) International Passengers: Montreal & Warsaw Conventions

If your journey involves an ultimate destination or stop in a country other than the country of departure, international treaties such as the Montreal Convention and/or the Warsaw Convention (including amendments) may apply and may limit carrier liability for death or personal injury, baggage loss/delay, and delay. Consult your airline or insurance provider for details.

13) Liability Waiver / Agency Relationship

You understand that Business Airfare is not the source or supplier of Travel Products and does not operate flights or provide airline transportation. Travel Products are provided by the applicable Travel Provider. You agree not to hold Business Airfare responsible for acts, omissions, delays, disruptions, cancellations, or failures of performance by a Travel Provider that are beyond our reasonable control.

Travel involves inherent risks. We strongly recommend purchasing appropriate travel insurance to cover risks such as medical events, trip interruption, supplier insolvency, or other unforeseen circumstances.

14) Indemnification

To the extent permitted by law, you agree to defend, indemnify, and hold harmless Business Airfare LLC, its contractors, and service providers from and against claims, damages, losses, liabilities, and expenses (including reasonable attorneys’ fees) arising out of: (i) your breach of these Terms; (ii) misuse of our services; or (iii) your actions during travel.

15) Personal Data and Privacy

All information we collect is subject to our Privacy Policy. By using our services, you consent to processing of your personal data as described in the Privacy Policy, including sharing necessary data with Travel Providers and payment processors to complete requested transactions.

16) Dispute Resolution and Governing Law

Before taking formal action, you agree to contact us first at support@business-airfare.com and provide a written description of the issue and the relief sought. We will attempt to resolve disputes in good faith.

To the fullest extent permitted by law, these Terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-law rules. You agree that any legal action must be brought in your individual capacity and not as part of any class or representative action.

Note: Some jurisdictions may provide additional consumer rights that cannot be waived. These Terms apply to the fullest extent permitted by applicable law.

17) Purchases Not for Resale

You represent and warrant that you are purchasing Travel Products for personal use and not for resale unless expressly agreed in writing.

18) Assignment

You may not assign your rights or delegate your obligations under these Terms without our prior written consent.

19) Notices

We may provide notices by email to the address you provide and/or by posting on our website. Notices sent by email are effective when sent. It is your responsibility to keep your contact details current.

20) Severability

If any provision is held invalid or unenforceable, the remaining provisions will remain in full force and effect.
