Business Airfare provides travel consulting services, including itinerary planning and travel package guidance. We do not issue airline tickets directly. Airline tickets and certain travel products are issued by authorized third-party suppliers (“Travel Product Providers”).

Business Airfare (“Business Airfare”, “Business Airfare LLC”, “we”, “our”, “us”) respects your privacy and is committed to protecting your personal information. This policy describes Business Airfare practices regarding personally identifiable information or personal data (“personal information/PI”).

Terms and Definitions

Terms and definitions used in this Privacy Policy shall correspond to the terms set in the Website Terms of Use and/or Terms & Conditions (T&Cs), except if otherwise set herein:

Terms Definitions
Website user Means a person who visits the Platform. Website users can stay in this status and never purchase a Travel Product. Website users also may be referred to as “you”/“your” based on the context.
Client An individual, a party of service contract with TPP, purchasing Travel Product. Clients also may be referred to as “you”/“your” based on the context.
Travel Product Provider (TPP) The company selling or issuing the Travel Product. Relations with this company are covered by Terms & Conditions for Travel Products Purchasing, which plays the main role in processing PI of Clients. Depending on context, TPP may be referred to as “we”, “us”, “our”.
Travel Product Means a ready-to-use service rendered by Travel Product Providers, including, but not limited to flight tickets, car rentals, hotel bookings, transfers from/to airport and upsell ancillary services (e.g. Travel Care Services).
Platform Operator A company responsible for operating the Platform, which performs activities including, but not limited to:
  • Platform security and maintenance;
  • Administrating and publishing, updating and deleting content and information about possible Travel Products on the Platform, in accordance with TPP instructions;
  • Attracting users and assisting them with Platform navigation, including connecting them with TPP;
  • Ensuring customer support regarding content published on Platform and other related issues;
Relations with the Platform Operator fall under the Platform Terms of Use. Platform Operators also may be referred to as “Business Airfare”, “we”, “us”, “our” based on the context.
Privacy policy A legal statement explaining how the TPP and/or Platform Operator processes and protects PI of Platform users and/or Clients.
Platform Means this website, its extensions, mobile versions, mobile applications and any email, voice calls, text/chat messages and social media accounts related to this website and/or brand Business Airfare, which is operated by the Website Operator. By its nature, the Platform is a marketplace connecting Website users with TPP and allowing them to purchase Travel Products.

Purpose of This Privacy Policy

This privacy policy aims to give you information on how Business Airfare collects and processes your PI, including any PI you may provide through the Platform, when you purchase a product or service or sign up to our newsletter.

It is important that you read this privacy policy together with any other privacy policy, notice or fair processing policy we may provide on specific occasions when we are collecting or processing PI about you, so that you are fully aware of how and why we are using your PI. This privacy policy supplements other notices and privacy policies and is not intended to override them.

Policy Amendments

We keep our privacy policy under regular review updating it at least once in 12 months.

Business Airfare might make minor amendments to this Privacy policy which shall not adversely affect your privacy, except if laws set otherwise.

In case of material changes, Business Airfare will publish such amendments and the amended policy on our Platform and, as far as possible, notify you either by email or by pop-up windows when you are using our Platform next time.

Amendments shall enter into force on the Effective Date. The actual version of the Privacy policy is published on our Platform.

Data Accuracy

When you give us PI, you are telling us that the information is true, accurate, complete and current. You are also telling us that you have the authorization to provide it to us.

It is important that the PI we hold about you is accurate and current. Please keep us informed if your PI changes during your relationship with us.

The Categories of Personal Information We Collect

We may collect, use, store and transfer different kinds of PI about you which we have grouped together as follows:

  • Identifiers or Identity Data such as a first/middle/last name, alias, postal address, unique personal identifier (cookie), date of birth, online identifier, Internet Protocol address, passport/ID data (number, expiry, country of issuance, nationality) or other similar identifiers.
  • Contact Data includes billing address, delivery address, email address and telephone numbers.
  • Commercial Information, including products or services purchased or other purchasing or consuming histories or tendencies, as well as Financial Data (bank account and payment card details) and Transaction Data (details about payments to and from you and other details of products and services you have purchased from us).
  • Network Activity Information, including, but not limited to Technical Data (login data, browser type and version, browsing history, search history, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access our Platform), and information regarding your interaction with our Platform (Usage Data).
  • Geolocation data (country, state or city).
  • Audio (e.g. call records) and Electronic (e.g. email threads) information.
  • Inferences drawn from any PI collected, including Profile Data (preferences, characteristics, behavior, attitudes, feedback and survey responses) and Marketing Data (preferences in receiving marketing from us and our partners and communication preferences).

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data could be derived from your PI, but is not considered PI in law as this data will not directly or indirectly reveal your identity. However, if we combine or connect Aggregated Data with your PI so that it can directly or indirectly identify you, we treat the combined data as PI which will be used in accordance with this privacy policy.

Customer support: If you choose to contact our customer support services, we will collect any inquiries, complaint or other information that you may submit to our support team.

We might collect directly from you and process special categories of personal data that could reveal sensitive information, including your racial or ethnic origin, religious or philosophical beliefs, sexual orientation, health or disability information (e.g. meal/seat preferences, insurance claims, car rentals for persons with disabilities, special rooms in hotels etc.), immigration or citizenship details. We will only use your sensitive information for the purposes of rendering services requested by you (including relevant communication and customer service), as well as for security and safety purposes (including compliance with law requirements).

Children

Business Airfare does not knowingly collect PI from minors, except if the minor is one of travelers. If we become aware that a minor is attempting to submit PI, we will remove this information from our records. If you are the parent/legal guardian of a minor who has given us PI, please contact us so we can delete it.

If You Fail to Provide Personal Information

Where we collect PI required by law or under the terms of a contract, and you fail to provide that PI when requested, we may not be able to perform the contract we have or are trying to enter into (for example, to provide you with goods or services). In this case, we may have to cancel a product or service you have with us, but we will notify you if this is the case at the time.

How We Collect Your Personal Information

We use different methods to collect PI from and about you including through:

PI you give to us

We collect your PI directly from you (using live chat, online forms or via voice call/messenger). Any contact data (emails, phones etc.) provided by you throughout any interaction will be treated as your personal contacts and saved in your profile for future communications, unless specifically requested not to be stored (one-time communication only).

This includes PI you provide when you:

  • apply for our products or services;
  • subscribe to our service or publications;
  • request marketing to be sent to you;
  • give us feedback or contact us.

When we chat in WhatsApp, Facebook chat or via regular SMS, it might be accidentally closed/removed, there might be interruptions, slow internet connection etc. We may contact you later via automated phone and text messages or email (if available) in order to restore our communication started within the chat. No purchase necessary. You can opt out from further communication by replying to SMS or notifying us during the phone call.

Voice calls

One of the main collection methods are voice calls. We have a vested interest to ensure you have chosen the best possible option. Voice calls are an opportunity to provide you with immediate customer support and disclose additional service features you might not notice on the Platform.

Usually, we call back on your request. Sometimes there might be unfinished conversations regarding current travel options (misunderstanding in live chat, email system error, poor internet connection etc.) which require a timely response. We do not make unwanted telemarketing robocalls or annoying advertising campaigns. You can opt out at any time by contacting us via phone or email.

Loyalty/Membership programs

If you participate in loyalty/membership programs organised by our associated companies and covering all or current associated companies, we might access data registered within your member account so you are able to use benefits within those programs (e.g. cashbacks in accordance with specific T&Cs when paying for our products/services, etc.).

PI we collect passively

We also collect your PI passively. For example, we collect information about you over time and across different websites when you visit the Platform. We use tracking tools like cookies and beacons. As you interact with our Platform, we will automatically collect Network Activity Information about your equipment, browsing actions and patterns.

Platform features may make use of your device attributes and settings that will allow us to determine your physical location (country, state). Such technologies may include IP address mapping or other technologies. We use this information to enhance and personalize your experience and provide you with offers and services that may be of interest to you.

PI we receive from service providers

We collect your PI using service providers. This can include when you log in using a service provider platform, such as Facebook. In addition, we also integrate service providers' software that collects information about users for security reasons.

For What Purpose We Use Your Personal Information

We will use your PI for the following purposes:

Improving our services

To provide you and improve our Platform and services, to better understand the users of our Platform and services, and to protect our property and to prevent damage to them.

Regular customers

If you have ever requested a price quote or purchased our services, we treat you as a Regular (loyal) Customer. Regular Customers may receive relevant price quotes and assistance based on prior requests and transactions.

According to our policy, we may contact you as a Regular Customer via email/phone saved within previous requests and transactions, for example when you have accidentally provided the wrong email/phone or when you cannot be reached via the contact details left in the last request/purchase. If you want to opt out, please contact us.

Bookings

We and our travel partners use your PI to process your bookings and store your itinerary information where applicable. Business Airfare provides consulting and coordinates bookings via third-party suppliers who are authorized to issue tickets and deliver travel products.

Marketing activities

We use your information for marketing purposes. These activities may include:

  • To send you marketing emails and/or text messages from Business Airfare regarding our services or those of our partners, if you have opted-in to receive emails and/or text messages from us or have transacted with us, and as permitted by law. You can unsubscribe at any time via the “Unsubscribe” link or by texting STOP via SMS.
  • To display more relevant advertising and recommendations, or suppress advertising and content that you might find irrelevant. This advertising might be shown on our Platform and on third party platforms (including Google and social media sites like Facebook). Individualized advertising may be based on information collected through cookies or other tracking technologies.
  • If you choose to participate in promotional activities, relevant information may be used to administer these promotions.

Referrals

If you participate in our Referral Program and (1) forward an email/SMS with a referral code to your friends or (2) share friends’ contacts (email, phone, social media account etc.) with us, we presume that you have notified your friends in advance about sharing their PI with us and that their PI will be processed in accordance with this privacy policy.

  • You shall respect any objections received from your friends regarding processing their PI for marketing purposes.
  • If you ignore friends’ objections and don’t report it to us, we disclaim responsibility that may be imposed on us as an advertiser.

Communications

To communicate with you, including as follows:

  • To send booking confirmations;
  • To send alerts and notifications you have subscribed to, including to your mobile device;
  • To solicit reviews;
  • To update you regarding itineraries processed by our service;
  • To communicate with you if you have contacted Business Airfare customer support;
  • To send servicing and administrative emails;
  • To send you information about services offered by Business Airfare or our business partners that we believe you would be interested in.

Legal purposes

In certain cases we may need to use your information to handle and resolve legal disputes, for regulatory investigations and compliance, or to enforce the terms of use of the service.

Performance of a contract

The use of your PI may be necessary to perform the services and provide you products that you have requested from us. For example, if you make a booking through the Platform, we need to collect PI in order to coordinate and complete the booking with the relevant Travel Product Providers.
